Report of the Trustees |
for the Year Ended 31st March 2021 |
The trustees who are also directors of the charity for the purposes of the Companies Act 2006, present their report with the financial statements of the charity for the year ended 31st March 2021. The trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019). |
COMMENCEMENT OF ACTIVITIES |
The Charity is a charitable company limited by guarantee and was set up on 22nd July 2003. |
ACHIEVEMENT AND PERFORMANCE |
Charitable activities |
The focus of the charity is to serve the community through delivering a range of services that help people and groups to live happily and healthily in mind, body and spirit. The charity works with beneficiaries who are disadvantaged whatever their faith or background. |
The core of the charity's work in 2020/21 was the delivery of services (kundalini yoga & meditation classes) to those in need, for example people in drug & alcohol rehabilitation, the elderly (including those with dementia), mental health service users and the homeless. These activities were hampered by the pandemic, but services were able to be provided online for many of our clients when face to face classes were not possible. The charity continued to offer support to its teachers, including access to specialist advisors in related fields (e.g. yoga therapy, yoga teacher training, medicine, psychological therapy); as well as information relating the pandemic covering a wide range of issues from keeping safe to financial challenges, making use of free time and psychological support. |
Project Work continued with the setting up of a chair yoga channel on YouTube for those that were housebound. |
Corinne Gardner joined the team in the new role of paid Admin Assistant. We also welcomed Harsha Moore and Jay Kaley onto the board of trustees. |
Making use of the restriction in other activities during 2021, the charity began the process of revamping its website and improving its social media presence. |
Volunteers |
Very importantly, the charity is thankful for the efforts of its many volunteers who are involved in service provision and fundraising events. Most services delivered in this financial year have been on a voluntary basis. It is estimated that over 1,780 (2020 - 2,100) hours were provided during the year. If this is conservatively valued at £12.50 an hour (2020 - @ £12.50), the volunteer effort amounts to over £22,250 (2020 - £26,250). |
It is also estimated that the volunteers who are fundraising for us by organising small events such as early morning meditations spent approximately £275 to do so. |
These totals for volunteering only include teachers who are teaching classes GRDP has set up. GRDP also supports teachers who have set up their own classes with vulnerable people. Their teaching hours are not included here. |
ent approximately £275 to do so. An estimated £1,480 was spent by GRDP teachers on travel to and from GRDP classes. |
These totals for volunteering only include teachers who are teaching classes GRDP has set up. GRDP also supports teachers who have set up their own classes with vulnerable people. Their teaching hours are not included here. |

FINANCIAL REVIEW |
Financial position |
The Statement of Financial Activities for the year ended 31 March 2021 is set out on page 6 of the financial statements. |
A summary of the expenditure in relation to the work of the charity is set out below. |
Programme expenditure amounted to £1,384 (2020 - £1,970) which relates to direct delivery of services. Our services are a combination of yoga classes and project work. For GRDP this expense has never been an accurate indicator of the level of service provision because so much of our service delivery is provided by volunteers. In 2021, programme expenditure covered the creation of a Chair Yoga Channel on YouTube to help those who were housebound because of the pandemic. It also covered the teaching fees for an educational series of workshops on diet and health. The figure was lower in 2021 than 2020, because the St Mungos class (for which we have a funding stream to pay the teacher), did not run due to Covid. |
Project support costs were £397 (2020 - £87). This increase is mostly due to donated books worth £225 used to offer extra support/training to our teachers. The rest of the cost in 2021 mostly went on DBS. |
Management and administration costs amounted to £18,355 (2020 - £8,712). This substantial increase was due to the charity being very generously gifted just over £9,000 worth of services in kind by Ed McCulloch for the revamping of GRDP's website. Without this, the total would have been £9,051 which represents a slight increase in the amount paid to sessional workers for administration. This slight increase was caused by the balancing out of two factors. The Project Manger worked less hours, but the charity also paid for additional administrative support for the Project Manager. |
Total expenditure on charitable activities in 2021 was £21,138 (2020 - £13,534). High management and administration costs in 2021 (as outlined above) account for most of this difference. Their impact was mediated slightly by fundraising costs being significantly lower in 2021 due to events being online rather than in venues. |
The total income in 20201 was £16,840 (2020 - £14,435). This increase was due to services in kind for the website. The money generated by donors, fundraisers and charitable activities was £7,536 (2020 - £14,435). The biggest factor in the substantial decrease from these activities was Covid. |
Reserves policy |
Reserves are defined as undesignated, unrestricted funds. Net free reserves are defined as undesignated, unrestricted funds less the net book value of tangible fixed assets. |
Accumulated unrestricted reserves at 31 March 2021 amounted to £36,954 (2020 - £41,252) and restricted reserves at balance sheet date amounted to £3,516 (2020 - £3,516). The reduction in unrestricted reserves reflects a net loss for the year 2021 of £4,298. This loss is due to several factors. The largest of which is almost certainly the effect of multiple lockdowns which caused the suspension of income generating classes and restricted in the activities of our supporters. In addition there have been also changes within the Kundalini Yoga community unrelated to the charity, which may nevertheless have affected our support. |
The Reserves Policy of the Trustees remains that of maintaining a minimum net free reserves equivalent to six months of operating costs. |
FUTURE PLANS |
Going forward, GRDP aims to continue expanding our services to those in need through collaboration, recruitment and setting up new classes, and to establish ourselves as a centre for excellence in the field of yoga provision for those who are vulnerable. To help achieve this the charity also aims to increase revenue and visibility. |
STRUCTURE, GOVERNANCE AND MANAGEMENT |
Governing document |
The charity is controlled by its governing document, a deed of trust, and constitutes a limited company, limited by guarantee, as defined by the Companies Act 2006. |
Guru Ram Das Project (Registered number: 04670669) |
Report of the Trustees |
for the Year Ended 31st March 2021 |
The charity is managed by the Trustee body and run with the help of volunteers and self employed workers. The Trustees of the charity have been outlined on page 3 of these financial statements. The memorandum and articles of association provide that the Trustees must consist of at least three and not more than eight individuals, all of whom must be members of the charity, with one third retiring at each AGM. New Trustees, who must also be members of the charity, are appointed by the Trustee resolution and hold office until the next AGM. The Trustees must hold at least two meetings each year. Company and charity law requires the Trustees to prepare financial statements for each financial period which give a true and fair view of the state of affairs of the charity and of the surplus or deficit of the charity for the period. In preparing those financial statements, the Trustees are required to: |
- select suitable accounting policies and then apply them consistently; |
- make judgements and estimates that are reasonable and prudent; |
- state whether applicable accounting standards have been followed, subject to material departures |
- disclosed and explained in the accounts; and |
- prepare the accounts on a going concern basis unless it is inappropriate to presume that the charity will continue in operation. |
Risk management |
The Trustees have overall responsibility for ensuring that the charity has appropriate systems of control, financial and otherwise. They are also responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Companies Act 1985. They are also responsible for safeguarding the assets of the charity and for taking reasonable steps for the prevention and detection of fraud and other irregularities and to provide reasonable assurance that: |
- the charity is operating efficiently and effectively; |
- its assets are safeguarded against unauthorised use or disposition; |
- proper records are maintained and financial information used within the charity or for publication; |
- is reliable; and |
- the charity complied with relevant laws and regulations; |
The systems of internal control are designed to provide assurance against material misstatement or loss. They include: |
- a strategic plan, an annual operating plan and an annual budget approved by the trustees; |
- regular consideration by the Trustees of financial results and variance from budgets; |
- delegation of authority and segregation of duties; and |
- identification and management of risk. |
As part of this process, the Trustees continue to review the adequacy of the charity's current internal controls. Included in this control process is the work of the internal audit function, which carries out a number of risk-based assessments. The Trustees in view of the current operations and control they exercise, do not consider the need to appoint a specific internal auditor. |
The Trustees have introduced a formal risk management process to assess business risks and implement risk management strategies. This has involved identifying the types of risks the charity faces, prioritising them in terms of potential impact and likelihood of occurrence, and identifying means of mitigating the risks. |
The Trustees believe that the charity's internal financial controls conform to the guidelines issued by the Charity Commission. |
Equal Opportunities Policy |
The charity is an equal opportunities employer and applied objective criteria to assess merit. It aims to ensure that no job applicant or employee receives less favourable treatment on the grounds of age, race, colour, nationality, ethnic or national origin, gender, marital status, sexual orientation or disability. |
